SYGNOS™ ("SYGNOS," "we," "our," or "us") operates sygnos.ai and provides an AI-powered Signature System platform for coaches, consultants, and creators. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our website, platform, and services (collectively, the "Services").
By accessing or using our Services, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with the terms of this policy, please discontinue use of our Services.

2.1 Information You Provide Directly
Account Registration: When you create an account, we collect your name, email address, password, and plan selection.
Billing Information: When you subscribe to a paid plan, payment is processed through Stripe. We do not store your full credit card number, CVV, or billing details. Stripe processes and stores this data in accordance with their own Privacy Policy and PCI-DSS compliance standards.
Session Content: When you complete an extraction session, we collect the answers, responses, voice transcriptions, and any documents or files you upload to generate your Signature System.
Communications: If you contact us via email, chat, or support channels, we collect the content of those communications.
Profile Information: Any additional information you voluntarily provide, including business name, professional bio, or profile photo.
2.2 Information We Collect Automatically
When you use our Services, we automatically collect certain technical information, including:
Log Data: IP address, browser type and version, operating system, referring URLs, pages visited, time and date of visits, and time spent on pages.
Device Information: Device type, unique device identifiers, and mobile network information.
Usage Data: How you interact with our platform, features used, session duration, clicks, and navigation patterns.

Stripe: Payment confirmation and subscription status.
GoHighLevel: CRM data related to your account activity and communications.
Analytics Providers: Aggregated usage and performance data.
Social Media Platforms: If you connect a social account or interact with our content on social platforms.

Save and store your session progress and completed systems
Enable platform features including drag-and-drop editing, voice transcription, and document uploads

Train and improve our AI systems using aggregated, de-identified data

4. How We Share Your Information
We do not sell your personal information. We may share your information in the following limited circumstances:
4.1 Service Providers We share information with trusted third-party vendors who assist us in operating our platform and delivering our Services. These providers are contractually obligated to protect your information and may only use it as directed by us. Current service providers include:
Stripe — payment processing
GoHighLevel — CRM and marketing automation
Vercel — hosting and infrastructure
Supabase — database and backend infrastructure
4.2 Legal Requirements We may disclose your information if required to do so by law or in response to valid legal requests, including subpoenas, court orders, or government regulations.
4.3 Protection of Rights We may disclose your information when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
4.4 Business Transfers In the event of a merger, acquisition, sale of assets, or bankruptcy, your information may be transferred to the acquiring entity. We will notify you via email and/or prominent notice on our website prior to your information being transferred and becoming subject to a different privacy policy.
4.5 With Your Consent We may share your information with third parties when you have given us explicit consent to do so.
4.6 Aggregated or De-Identified Data We may share aggregated or de-identified information that cannot reasonably be used to identify you, for research, analytics, marketing, or other business purposes.
5. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with our Services. Specifically:
Account Data: Retained for the duration of your active account and for up to 90 days following account deletion or cancellation, after which it is permanently deleted.
Session Content and Signature Systems: Retained for the duration of your active subscription. Upon cancellation, you will have 30 days to export your data before it is permanently deleted.
Billing Records: Retained for a minimum of 7 years to comply with tax and financial recordkeeping requirements.
Log and Usage Data: Retained for up to 12 months.
Support Communications: Retained for up to 2 years.
You may request deletion of your data at any time. See Section 9 for details on your rights.
6. Data Security
We implement industry-standard technical and organizational security measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. These measures include:
Encryption of data in transit using TLS/SSL protocols
Encryption of sensitive data at rest
Access controls limiting employee access to personal data on a need-to-know basis
Regular security assessments and vulnerability testing
Secure third-party payment processing through Stripe's PCI-DSS compliant infrastructure
No method of transmission over the internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.

7.5 Opt-Out of Marketing You may opt out of receiving marketing communications from us at any time by clicking the unsubscribe link in any marketing email or by contacting us directly. Note that opting out of marketing communications does not affect transactional emails related to your account.

7.7 California Residents — CCPA Rights If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to know whether your personal information is sold or disclosed, the right to opt out of the sale of personal information, the right to access your personal information, and the right to equal service and price. 7.8 European Residents — GDPR Rights If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you have rights under the General Data Protection Regulation (GDPR), including the right to access, rectify, erase, restrict processing, object to processing, and the right to data portability. Our legal basis for processing your personal information includes performance of a contract, compliance with legal obligations, legitimate interests, and consent where applicable.
